Scope & age: This Policy applies to users of the Service (senders/shippers, receivers/consignees listed by the shipper, and business users). The Service is intended for individuals 18+.
2Personal Data We Collect
We collect only what we need to operate, secure, and improve the Service, and to arrange transportation with selected carriers.
2.1 Data you provide directly
- Account & identity: name (or display name), company, role, email, phone
- Addresses & shipment details: pickup and delivery addresses, contact names/phones/emails for both sides, shipment contents/description, value, HS code (if provided), weight/dimensions, packaging/pallet details, special instructions
- Documents: commercial/pro-forma invoices, export/import declarations, permits and licences (where applicable), and other transport documents you upload or generate through the Service
- Billing: billing address, VAT details (if applicable)
- Wallet & bookings: top-up intents, booking references, options selected (e.g., insurance), cancellation requests
- Support & communications: messages, requests, and related attachments
Special category data: We do not seek special-category data. If you voluntarily include such data (e.g., health info in shipment notes), we will process it only to deliver the requested feature or document and only with your consent.
2.2 Data collected automatically
- Technical: IP address, device/browser type, OS, timezone, language, user agent, session identifiers
- Security telemetry: login attempts, fraud/abuse signals, rate-limiting and anomaly logs
- Usage: page views, clicks, quote/booking flows, Wallet top-ups and deductions, label creation, tracking lookups, delivery/open events, and error logs
2.3 Data from third parties
- Payment processors: transaction references and status (we do not receive full card numbers)
- Carriers & logistics partners: waybill numbers, scans, surcharge notices (e.g., re-weigh/re-measure results), delivery events, claims outcomes
- Fraud/abuse-prevention & KYC: risk scores, verification signals (where justified)
- Professional advisers: legal, tax, compliance
3Why We Process Your Data & Legal Bases
We process personal data under the UK GDPR and the Data Protection Act 2018 on the following legal bases:
3.1 Performance of a contract
- To create and maintain your Account
- To provide quotes, process bookings, issue labels/waybills, arrange pickup/delivery, and manage options (e.g., insurance)
- To communicate about your shipments, handle cancellations/returns, and process Wallet usage/refunds
3.2 Consent
- To process any special-category data you voluntarily provide
- To send marketing emails/newsletters where you opt in
- To use your content/feedback for product improvement where you opt in
You may withdraw consent at any time via settings or by contacting us. Withdrawal does not affect prior processing.
3.3 Legitimate interests
- To keep the Service secure (fraud detection, abuse prevention, logging, rate-limiting)
- To measure and improve performance and user experience (aggregated/pseudonymised analytics where possible)
- To communicate important non-marketing updates (service or policy changes)
- To support business customer outreach related to your existing or potential use of the Service, subject to your right to object
3.4 Legal obligation
- Tax, accounting, and compliance record-keeping
- Responding to lawful requests from public authorities, customs, or regulators
- Sanctions/export-control compliance checks where relevant to a shipment
4AI, Profiling and Automated Decisions
The Service uses automated processing to produce quotes (e.g., route/service eligibility, dimensional weight), generate documents, and surface tracking data.
Limited profiling may tailor available services or risk checks (e.g., flagging unusual usage patterns).
We do not make legal or similarly significant decisions solely by automated means. You may request human review of any support outcome at any time.
5Sharing and International Transfers
We share data only as necessary to operate the Service and perform your bookings:
- Carriers & logistics partners: to create and fulfil shipments (labels, waybills, scans, delivery)
- Customs & authorities: where required for export/import, security, or regulatory checks
- Payment processing: card acquirers/processors (Visa/Mastercard providers). We receive transaction references/status, not full card details
- Hosting & IT: secure cloud infrastructure, CDNs, storage/backups
- Product & support tooling: analytics (aggregated/pseudonymised where feasible), helpdesk, email/SMS delivery, error tracking, A/B testing
- Professional advisers & insurers: legal/accounting/compliance support, optional cargo insurance administration
Some providers and carriers are located outside the UK/EEA. Where transfers occur, we implement appropriate safeguards, such as UK adequacy regulations, UK/EU Standard Contractual Clauses (SCCs), and supplementary measures where appropriate. We do not sell your personal data.
6Cookies and Similar Technologies
We use cookies and similar technologies (including localStorage/sessionStorage) to run the Service, remember preferences, measure performance, and—where you consent—enable analytics/marketing. Essential cookies are necessary for core functionality and security.

7Retention
We keep data only as long as necessary for the purposes described:
- Bookings, Wallet & transactions: at least 24 months, and up to 6 years where disputes, tax, accounting, insurance, or enterprise records require
- Account & profile data: while your Account is active and for a reasonable period after closure (typically up to 24 months), unless longer is required for legal or security reasons
- Logs & security telemetry: typically 6–24 months, depending on purpose and risk
Where feasible, we minimise, pseudonymise, or anonymise data and then securely delete it.
8Your Rights
Subject to legal limits, you have the right to:
- Access your data
- Rectification of inaccurate data
- Erasure ("right to be forgotten")
- Restriction of processing
- Data portability
- Object to processing based on legitimate interests (including direct marketing)
- Withdraw consent at any time (for marketing, any special-category data you provided, and model-improvement opt-ins)
How to exercise: email info@zeltrionix.com from your Account email. We may request proof of identity. We aim to respond within one month (extendable by up to two months for complex requests, with notice).
9Security
We implement appropriate technical and organisational measures, including:
- Access controls, role-based permissions, and MFA for admin interfaces
- Encryption in transit (HTTPS/TLS) and at rest where applicable
- Network segregation, firewalls, and regular backups
- Logging/monitoring and incident-response procedures
- Vendor due diligence and contractual safeguards for processors
No system is 100% secure. We continuously improve our controls and promptly investigate incidents.
10Children's Data
The Service is for users 18+. We do not knowingly collect data from children. If you believe a child has provided data to us, contact info@zeltrionix.com so we can delete it.
11Changes to this Policy
We may update this Policy from time to time. Material changes will be notified by email and/or a prominent in-product notice. Updates apply prospectively.
